1. Introduction

Gilmerton House is owned and managed by the Gilmerton Estate Trust and takes your privacy and data security seriously. This privacy policy describes how and why we obtain, store, secure and process data which can identify you. We may update this policy from time to time and will indicate on the website when changes have been made.

We have taken clear steps to adhere to the General Data Protection Regulation (GDPR) which came into force on 25th May 2018. Gilmerton House’s Data Protection Policy includes:

  • We aim to give all Gilmerton House’s contacts, including customers, visitors, prospects and suppliers, clear choices as to whether or not we retain data about them.
  • We ask contacts whether they want to opt-in to receiving our email newsletters, Gilmerton Gossip.
  • We aim to respond as quickly as possible to any requests from individuals on what data we hold on them, aiming to deal with these requests in 7 days. These are Subject Access Requests (SARs) and we are aware that we have one month to respond to a request from an individual.
  • Data breaches will be reported to the ICO within 72 hours of discovery.

2. The information we collect

Information is collected from you when you register with us, or when you contribute to or use some of the advanced features on the site. The information we collect on our website is clearly set out on the web page on which we collect it. See, for example, our Gilmerton Gossip registration page and online enquiry forms. In addition, we may collect your IP address.

We will only store information that is relevant, necessary and up-to-date (as far as possible) from those who have actively engaged with our business or team. You may have booked or attended an event here, met one of our team or expressed an interest in Gilmerton House. The information we store may include: name, email address, organisation, phone numbers, Twitter handle and address, if provided by you. Data will only be kept for as long as it is needed.

We will retain personal information for the period necessary to fulfil the purposes outlined in this Privacy & Cookie Policy, unless a longer retention period is required by law (eg HMRC regulations). Details of this retention policy can be provided on request.

3. Why we collect it

We only collect information about you so that we can personalise your use of the site, improve the website, and send you the Gilmerton Gossip email newsletter. We use a trusted third party email platform, Mail Chimp, to contact you if you have subscribed to the Gilmerton Gossip.

If you choose to remain subscribed but change your mind in the future, you can unsubscribe at any point by clicking the “Unsubscribe” link at the bottom of the Gilmerton Gossip email or any other newsletter. You will be unsubscribed and removed from our database immediately.

Depending upon your selections for our data protection questions we may arrange for you to be sent information about related Gilmerton products and services (see section 4). You may update the answers to your questions at any time.

4. Who we disclose it to

We will only pass on information about you as an individual (as opposed to aggregate information) to third parties to enable us to perform services requested by you or with your prior consent.

In certain circumstances we may need to disclose information about you if you breach this privacy policy or if you breach the Terms and Conditions. We may also disclose or access your account if required to do so by law or by any Governmental body.

We have taken every practical step to adhere to the General Data Protection Regulation (GDPR).

6. Security

Keeping information about you secure is very important to us and certain sections of the site may encrypt data using SSL or a comparable standard. However, no data transmission over the Internet can be guaranteed to be totally secure. As a result, whilst we strive to protect your personal information, we cannot ensure or warrant the security of any information which you send to us, and you do so at your own risk.
